Contract terms: (All Vendors)
It is the responsibility of all the vendor(s) to maintain their site/area and to ensure that the following requirements are met:
1. Vendors are to follow local COVID-19 mandates in place at the time of the event, such as: wearing masks covering both your nose and mouth, providing hand sanitizer at your table/s, and enforcing social distancing for any lines formed at your booth. Any and all adjustments to this requirement will be emailed the week of the event with the setup instructions.
2. No alcoholic beverages may be sold or distributed.
3. No pornographic materials may be displayed, exhibited, or distributed during the event.
4. Vendors are responsible for all setup and breakdown of their vendor space(s), excluding rented tents which will be taken care of for you.
5. Vendors are responsible for obtaining any and all required permits if needed.
6. Vendors will be responsible for maintaining a clean site during the event and for cleaning up their area directly following the event. Vendors are responsible for their own garbage and recyclables at all times. Including boxes, all cooking oil, food products, waste water etc. Please dispose of all waste in marked garbage and recycling bins. An additional charge of $250 will be applied for any violations of this policy.
7. No loudspeakers, megaphones, or loud radio on festival grounds without prior approval.
8. Vendors are required to stake/weigh down all 4 corners of their vendor tent.
9. Vendors are not permitted to share vendor spaces with other vendors. Any vendors found doing so will be asked to pay the full amount of the vendor fee and any late fees at that time or they will be asked to leave the festival.
10. The festival does not provide vendor parking. Vendor parking is first-come-first-serve around the festival area.
11. Payments are to be made in full by Check, Money Order or Credit Card. No cash is accepted. Checks must be made out to “BCC Full Spectrum Community Outreach”. All required paperwork must accompany your application to be complete. Incomplete applications will be returned to sender, hindering your eligibility for available spaces. Post-dated checks are not accepted. All contracts not paid in full by June 16th, 2025, will be denied a vendor space.
12. Nonprofits are required to submit their 501(c)(3) papers with this contract upon request.
13. No weapons of any kind, no fireworks, guns, knives, defense sprays, and no flammable items are permitted on festival grounds.
14. Pride in the Valley and BCC Full Spectrum Community Outreach Foundation Corporation reserve the right to restrict any vendor from selling any type of product for any reason.
15. As early as the weekend prior to the festival you will receive an email from our team with the festival layout and vendor packet.
16. Vendors are NOT permitted to leave the festival early without prior authorization. All vendors must remain at the festival until at least 7:00 PM.
17. You may cancel your application at any time until June 1st, 2025, at 11:59 PM. Cancellations made after 11:59 PM on June 1st, 2025, will not be asked back to future festival years.
18. Vendors, not checked-in and spaces occupied by 11:00 AM on Saturday, June 21st, 2025, will be forfeited. - All cancellations MUST BE IN WRITING through email. Phone calls will not be accepted.
19. Please understand there are NO refunds or rain checks under any circumstances after June 1st, 2025! All sales are final.
20. BCC Full Spectrum Community Outreach Corporation Foundation and Pride in the Valley reserve the right to the use of its logos, name, marks, symbols and other intellectual property. Any use of these without express written permission is a violation of the agreement with BCC Full Spectrum Community Outreach Corporation Foundation and will result in expulsion from the festival.
21. Pride in the Valley and BCC Full Spectrum Community Outreach Foundation Corporation reserve the right to deny any vendor from attending the festival for any reason.
22. Pride in the Valley and BCC Full Spectrum Community Outreach Foundation Corporation have the right to change or add anything in this contract without prior notification.
23. Pride in the Valley and BCC Full Spectrum Community Outreach Foundation Corporation reserve the right to cancel or change the date, time, or setup of the event for any reason. Notice will be given to the vendors by email only.
24. Pride in the Valley and BCC Full Spectrum Community Outreach Foundation Corporation make no assurances of your success.
25. Pride in the Valley and BCC Full Spectrum Community Outreach Foundation Corporation expressly assume no liability for vendors or their staff during the course of the setup/break down and event run time.
26. CANCELLATION: If BCC Full Spectrum Community Outreach Foundation Corporation shall fail to hold the Festival as herein provided, or if by reason of fire, wind, safety issue, terrorist attack, storms or any other cause or condition beyond the control of Pride in the Valley and BCC Full Spectrum Community Outreach Foundation Corporation or if the Festival facility becomes unavailable, Pride in the Valley and BCC Full Spectrum Community Outreach Foundation Corporation shall not be liable to Exhibitor or Vendor for any loss or damage suffered by Exhibitor or Vendor as a result of such cancellation, postponement, or relocation of the Festival. Pride in the Valley and BCC Full Spectrum Community Outreach Foundation Corporation reserve the right to cancel this contract for any reason. Pride in the Valley and BCC Full Spectrum Community Outreach Foundation Corporation will not be responsible for any damages or costs associated with cancellation except for a deferment of paid fees or a full refund of any payments made to Pride in the Valley and BCC Full Spectrum Community Outreach Foundation Corporation.
27. In the event of cancellation due to fire, pandemic related restrictions, legalities that cannot be remedied, prolonged severe weather, or acts of God, this contract/agreement will automatically roll over to the next calendar year or can be rescheduled for a later date range in the current calendar year if or when conditions improve, and if the rescheduled date range works for all parties.
28. VIOLATIONS: Pride in the Valley and BCC Full Spectrum Community Outreach Foundation Corporation reserve the right to remove from Courthouse Square, Parade, and Festival premises the Exhibitor and any or all of the property of the Exhibitor should the Exhibitor violate any of the Rules, Regulations, Terms and Conditions of the Contract. This right may be exercised without prior notice and without hearing. The Exhibitor will not be entitled to a refund of any amount if there is any violation or default.
